Overview

Customize pipelines to match your unique business. Create custom stages, set automation rules, and configure fields specific to your process.


Creating Custom Pipelines

SettingsPipelinesCreate Pipeline

Name Your Pipeline

  • Clear, descriptive name
  • Examples: "Commercial", "Property Management", "Investor Leads"

Add Stages

  1. Click Add Stage
  2. Name stage (e.g., "Initial Consultation")
  3. Set win probability (%)
  4. Choose stage color
  5. Repeat for each stage

Set Stage Order

  • Drag stages to reorder
  • Left to right = early to late stage
  • Must include "Closed Won" and "Closed Lost"

Configure Automation (Optional)

  • Auto-create tasks on stage entry
  • Send email when stage changes
  • Notify team member

Save Pipeline

  • Click Save
  • Pipeline available immediately
  • Add contacts to start using

Stage Automation

Trigger Actions on Stage Change

Options:

  • Create task (e.g., "Call within 24h")
  • Send email template
  • Notify team member
  • Update custom field
  • Add tag

Example: When moved to "Under Contract":

  • Create task: "Order home inspection"
  • Send email: "Congratulations! Here's what's next"
  • Notify transaction coordinator
  • Add tag: "Active Transaction"

Custom Fields for Pipelines

Add Fields:

  • Inspection date
  • Closing date
  • Escrow number
  • Lender information
  • Commission split

Configure: Settings → Custom Fields → Pipeline-specific

Customize: Duplicate template, modify stages


Best Practices

Keep It Simple

  • 5-8 stages max
  • Clear stage names
  • Logical progression

Match Your Process

  • Don't force generic template
  • Stages = actual steps you take
  • If you don't use a stage, remove it

Review Quarterly

  • Are stages still accurate?
  • Any new stages needed?
  • Remove unused pipelines
