Your CRM Inbox centralizes all email communications with contacts. Send, receive, and track emails without leaving the CRM - every conversation automatically linked to the right contact.

Accessing Your Inbox

  1. Navigate to CRMInbox
  2. Email list loads (most recent first)
  3. Click any email to view full thread
  4. Compose button (top right)

Inbox Layout:

  • Left Sidebar: Folders (Inbox, Sent, Drafts)
  • Middle: Email list with preview
  • Right: Selected email thread

Email Folders

Inbox

  • All received emails
  • Unread count badge
  • Sort by date or importance

Sent

  • All emails you've sent
  • Includes bulk campaigns
  • Tracking stats visible

Drafts

  • Emails you started but didn't send
  • Auto-saves as you type
  • Resume writing anytime

Archived

  • Old emails you've archived
  • Cleans up inbox
  • Still searchable

Connecting Your Email

Go to SettingsEmail Integration

Choose Provider

  • Gmail (Google Workspace)
  • Microsoft 365 (Outlook)
  • Other (IMAP/SMTP)

Authorize Connection

  • Click Connect Gmail or Connect Outlook
  • Sign in to your email account
  • Grant permissions
  • System syncs emails

Configure Sync Settings

  • Sync frequency (real-time, every 15 min, hourly)
  • Sync historical emails (last 30 days, 90 days, all)
  • Auto-link to contacts (recommended)

Verify Connection

  • Test by sending yourself an email
  • Check inbox - should appear in CRM
  • Reply - should sync to email provider

Composing Emails

New Email

Click Compose

Button in top right corner

Add Recipient

  • Type contact name or email
  • Select from dropdown
  • Add multiple recipients (CC, BCC)

Choose Template (Optional)

  • Browse email templates
  • Select and customize
  • Or write from scratch

Write Email

  • Subject line
  • Email body (rich text editor)
  • Format text, add links, insert images
  • Add attachments (up to 25MB)

Send or Schedule

  • Send Now: Click Send button
  • Schedule: Choose date/time for delivery
  • Save Draft: Close without sending

Email from Contact Profile

Quick Send:

  1. Open any contact
  2. Click Send Email button
  3. Compose (recipient pre-filled)
  4. Send

Best For: One-off emails to specific contacts


Bulk Email to Segment

Create or Select Segment

Go to Contacts → Open segment (e.g., "Hot Leads")

Select Recipients

  • Select all or specific contacts
  • Bulk Actions → Send Email

Compose Email

  • Subject line (merge fields supported)
  • Email body (personalization tokens)
  • Choose template or write custom

Preview

  • Send test to yourself
  • Check formatting
  • Verify merge fields populate correctly

Send

  • Send immediately to all
  • Or schedule for later
  • Track send progress

Email Templates

Using Templates

When Composing:

  1. Click Templates button
  2. Browse categories (Follow-up, Introduction, Thank You)
  3. Select template
  4. Customize for this recipient
  5. Send

Creating Templates

Settings → Email Templates → Create Template

Template Details

  • Name: Internal name for you
  • Category: Organize templates
  • Subject: Email subject line

Write Template

  • Compose email body
  • Use merge fields: {{FirstName}}, {{Email}}, etc.
  • Format with rich text editor
  • Add placeholders for customization

Save Template

  • Save to library
  • Available when composing emails
  • Edit anytime

  • Configure in Settings → Email Signature

Email Scheduling

Schedule Send:

  1. Compose email
  2. Click arrow next to Send button
  3. Select Schedule Send
  4. Choose date and time
  5. Email queues for delivery

  • Follow-up sequences (schedule 3 days out)

Thread View

Full Conversation:

Email Etiquette

Troubleshooting

Emails Not Syncing

Check:

  • Email integration still connected
  • Sync settings enabled
